Work with clients: stages, packages and WhizCV Pro

The stages on Clients

Clients shows everyone your workspace supports, as a board or a list, in five stages: Inquiry, Intro call, Working with, Follow-up and Past. Anyone can be in Working with. They don't need a WhizCV account, and working with them uses no Pro seat.

Each person has one page, whatever their stage. Drag a card to another column on the board, or choose Move to on the person's page. Moving someone into or out of Working with opens a short form first, described below.

Start working with someone

Open Start working in any of these ways:

• Drag their card onto the Working with column.
• On their page, choose Move to, then Working with.
• After an intro call, answer How did the call go? with Start working.

Choose the service, the number of sessions in the package, a price if you want to record one, and whether it is paid (Not yet or Paid). You can change all of this later. Choose Start working and they move to Working with.

The form also offers Give WhizCV Pro, unticked. Leave it unticked unless they should have their own WhizCV account; see the WhizCV Pro section below.

Keep track of the package

While you work with someone, their page shows the package under their name: the service, a bar with one segment per session, Session 2 of 4 for example, the price and whether it is paid. Choose Edit to change the package, or Add package if there isn't one yet.

After a session held outside a booking, choose Log a session; its menu also offers Log a mock interview. Every session and mock interview held since you started working together counts towards the package.

The card on the board shows the same line, such as Session 2 of 4 · Paid, and the list has a Package column. Choose Not paid in the row of counters at the top of Clients to see everyone whose package isn't paid yet. Overview lists the people you work with and their package in Working with you.

Give WhizCV Pro

WhizCV Pro is an add-on for a person you work with: the CV builder, job board and interview practice in their own account, with tasks and messages to you. It uses one of the workspace's Pro seats, and we email them an invite. Tick Give WhizCV Pro when you start working, or use the WhizCV Pro card on their page at any time. It needs their email address and a free seat. Invite a client, in the menu beside Add client on Clients, adds someone and gives them WhizCV Pro in one step.

• Invite sent: choose Resend, or Withdraw to free the seat. They stay in Working with.
• Once they accept, their page adds Message, what is waiting on you, and their tasks, job search and shared documents. Open their workspace to work in their account.
• Take Pro away frees the seat and emails them. They keep their account and documents, you stop seeing what they shared, and they stay in Working with.
• After Pro has ended, Give WhizCV Pro again sends a new invite.

Finish working

When the work ends, choose Finish working on their page, or drag their card to Follow-up or Past. Choose how it ended (Got a job, Stopped looking for now or Other) and add a note for the team if you like; it is saved in their team notes. Then choose when to check in again: 1 month, 3 months, 6 months, Pick a date or Don't. With a date they move to Follow-up and come back on your list on that day. With Don't, they move to Past.

If they had WhizCV Pro, finishing ends it and the seat comes back. We email them; they keep their account and documents, and you stop seeing what they shared. An invite they haven't accepted yet is withdrawn.

Working on your own

When you are the only manager in the workspace, Clients, Overview and Messages leave out the coach picker, the coach filter and the Mine and All switches, and everyone you add is yours. They come back when a second manager joins.
